AUTHORIZING EXPENDITURE OF FUNDS FOR LASERFICHE SOFTWARE SYSTEM RENEWAL WITH OPG-3, INC.

WHEREAS, the Kane County Information Technologies Department manages the Laserfiche software system used by several departments for workflow and document storage which also provides a public portal; and
WHEREAS, over the years additional users and system functionality have been added to this system resulting in additional costs which have been budgeted and paid through riverboat funds; and
WHEREAS, this resolution is to provide authorization for expenditure of funds for the current year in an amount not to exceed One Hundred Thousand Dollars ($100,000) under the current license and maintenance agreement with OPG-3 who is a reseller of said Laserfiche system; and
WHEREAS, Kane County code section 2-216 provides that the purchase of computer software, computer hardware, and computer databases that have been competitively procured and that require additional proprietary licensing, software integrations, software development, software maintenance, computer hardware maintenance, database maintenance, software support services, database support services and computer hardware support services are not suitable for competitive procurement and may be authorized for purchase. Purchases over thirty thousand dollars ($30,000) must be authorized by the County Board.
NOW, THEREFORE, BE IT RESOLVED by the Kane County Board that the Information Technologies Department is hereby authorized to expend an amount not to exceed One Hundred Thousand Dollars ($100,000) for Fiscal Year 2024 with a not to exceed 5% increase for each year thereafter for the Laserfiche Software system through OPG-3, Inc.
