Approving an Amendment to the Agreement with Workday Adaptive Planning of Pleasanton, California for Access to and Use of Data Analytics and Budget/Forecasting Software

WHEREAS, Resolution 24-024, approved a subscription services agreement (hereinafter the “Agreement”) between the County of Kane (“County”) and Workday, Inc. (Workday) in the amount of $110,613, to provide a software solution supporting the County’s ability to efficiently provide for project and fund-based financial analysis and reporting, cash flow analysis, and multi-year budgeting and forecasting over a three-year period ending on December 13, 2026 totaling $101,000; and
WHEREAS, Resolution 24-314 amended the existing contract to add an additional non-production instance of the software solution during implementation totaling $9,613 for a contract total of $110,613 ending on December 13, 2026; and
WHEREAS, in order to add an additional software production instance for day-to-day activities, archive historical information, and maintain a test environment for structural changes, formula updates, and upcoming projects, an additional $5,687 is required for a revised contract total of $116,300 ending on December 13, 2026; and
WHEREAS, the balance of the existing contract and purchase order was originally budgeted from the County Highway Fund #300 and should be budgeted from the Web Technical Services Fund 390.
NOW, THEREFORE, BE IT RESOLVED by the Kane County Board that the Chairman thereof is hereby authorized to execute an amendment to the software subscription agreement contract with Workday to be paid for from the Web Technical Services Fund #390, Line Item #50340 (Software Licensing Cost) and to budget the balance of the remaining contract and purchase order from the Web Technical Services Fund #390.
