Authorizing Office Supplies Contracts and/or Approving Cooperatives - Countywide (BID# 26-017-TK)

WHEREAS, the Kane County Purchasing Department solicited bids (BID# 26-017-TK) for 113 core office supply items as well as access to a full office supply catalog at discounted prices to be available countywide; and a total of three bid responses were received; and
WHEREAS, two bid responses were identified as responsive; and staff, after thoroughly reviewing the responses per contract requirements, compliance, offers, and available options for access to the full office supply, determined that it is in the best interest of the County to accept and award multiple contracts for the countywide office supply program to the following lowest responsive, responsible suppliers: Warehouse Direct, Inc., of Des Plaines, IL, and Staples Business, of Woodstock, IL; and
WHEREAS, this is a three (3) year contract, an all-inclusive, as-needed purchase program with a mutual option for three one-year renewal periods. A total of 113 core office supply items, based on lowest cost, will be allocated between Warehouse Direct (49 items) and Staples Business (64 items); and
WHEREAS, Warehouse Direct offered a 40% discount on their full office supply catalog available through their cooperative, Epic Business Essentials (contract number 158058), which is part of Omnia Partners; and Staples Business offered discounts ranging from 10% to 75% on their full office supply catalog available through their cooperative, Sourcewell (Contract Number 070924).
NOW, THEREFORE, BE IT RESOLVED by the Kane County Board that the Chairman is hereby authorized and directed to execute a three (3) year contract for the core office supplies with mutual options for three additional one-year renewals, to Warehouse Direct, Inc., of Des Plaines, IL, and Staples Business of Woodstock, IL.
NOW, THEREFORE, BE IT FURTHER RESOLVED by the Kane County Board that the Chairman is hereby authorized and directed to execute a three (3) year contract with the cooperatives for access to full office supply catalog at discounted prices, with mutual options for three additional one-year renewals, to Warehouse Direct, Inc., of Des Plaines, IL, and Staples Business of Woodstock, IL.
