Authorizing a Contract Extension for Kane County Elevator Preventative Maintenance Services for the Building Management Department (BID# 23-011)

WHEREAS, Building Management outsources elevator preventative maintenance services. Bids were solicited for Kane County Elevator Preventative Maintenance Services (BID# 23-011). A total of five (5) bids were received and opened publicly on February 10, 2023; and
WHEREAS, the lowest responsive and responsible bidder, as per bid documents and specifications, was Urban Elevator Service, LLC, located at 4830 West 16th Street, Cicero, IL 60804, based on an as needed basis at an hourly rate of $154.00 and annual amount of $110,700 for elevator preventative maintenance; and
WHEREAS, Alternate #1 for KDOT will be at a one-year cost of Three Thousand Five Hundred Forty Dollars ($3,540); and
WHEREAS, this also includes a 10% parts discount on all parts pertaining to the elevators for the County; and
WHEREAS, Urban Elevator Services has provided excellent services and has extensive working knowledge of County buildings, and has been very responsive in meeting the needs of the County since 2013; and
WHEREAS, this is the first one (1) year extension of the two (2) available one (1) year renewal options. Accordingly, appropriate funds have been budgeted in Building Management and are available for this one (1) year extension.
NOW, THEREFORE, BE IT RESOLVED by the Kane County Board that the Chairman is hereby authorized to execute the first one (1) year contract extension with Urban Elevator Services LLC, Cicero, IL for the one (1) year contract extension of annual preventative maintenance cost including alternate #1 for KDOT services is Forty Thousand Four Hundred Forty Dollars ($40,440); and
NOW, THEREFORE, BE IT FURTHER RESOLVED that Urban Elevator Services LLC, Cicero, IL, agrees to a 10% parts discount and a regular hour rate of One Hundred Fifty-Four Dollars ($154.00) not to exceed One Hundred Thousand Dollars ($100,000) per fiscal year to accommodate the need for repairs and parts outside the basic preventative maintenance. The total authorization amount for Urban Elevator for the annual preventative maintenance and as needed services is One Hundred Forty Thousand Four Hundred and Forty Dollars ($140,440) per fiscal year.
