Authorizing a Contract for Lawn Maintenance and Landscaping Services with Beary Landscape Management for Kane County Facilities (RFP# 25-042-DH)

WHEREAS, the Kane County Building Management Department issued RFP# 25-042-DH for Lawn Maintenance & Landscaping Services. A total of four (4) responses were received by the 10:00 AM (CT), Monday, December 15, 2025 deadline; and
WHEREAS, Building Management outsources Lawn Maintenance & Landscaping Services for Kane County Facilities; and
WHEREAS, the lowest responsive and responsible bidder, as per bid documents and specifications, was Beary Landscape Management of Aurora, IL for a total base BID of $197,268; and
WHEREAS, this contract will also include the following alternates:
• Alternate #1 Double Ground Mulch/Yard Installation as needed: $75/YD
• Alternate #2 Additional Occurrences: YES
• Alternate #3 Mowing of area “alternate #3” on page 9 of “exhibit A-map locations, Two times per season, Mid-June and Mid-September: $1,800 per occurrence
• Alternate #4 Judicial Center/Adult Correction/Sheriff per occurrence: $300
• Alternate #5 HOURLY RATE Optional Add-on Services Hourly Rate: $48/hour
• Alternate #5 MATERIAL MARKUP Optional Add-on Material Markup: 18%
WHEREAS, this service contract shall be for a two (2) year term which will begin on the date of contract execution by the Kane County Board and will have three (3) possible one (1) year renewal periods of mutually agreed upon by both parties; and
WHEREAS, adequate funds have been budgeted and are available in the FY2026 Kane County Building Management operating budget; and
WHEREAS, the contract calls for the use of funds beyond the present budget year and the County of Kane acknowledges the necessity of the appropriation of such funds.
NOW, THEREFORE, BE IT RESOLVED by the Kane County Board that the Chairman thereof is hereby authorized and directed to execute a contract with Beary Landscape Management 500 Rathbone Ave, Aurora, IL 60506 for Lawn Maintenance & Landscaping Services for a two (2) year term with three (3) one (1) year mutually agreed upon renewals for a base BID amount of One Hundred Ninety Seven Two Hundred Sixty Eight Dollars ($197,268) and an alternate/additional services budget amount of Seventy Five Thousand Dollars ($75,000) for a total not to exceed amount of Two Hundred Seventy Two Thousand Two Hundred Sixty Eight Dollars ($272,268) per fiscal year.
